What does the Automating the 4-Way Match in SAP webinar cover?
Joe O'Neal hosts George Williams (VP Solutions Engineering) and Andrew for a use-case-led session on automating the 4-way match in SAP: PO, goods receipt, invoice and certificate of analysis (or other quality document). The webinar includes a live demo of a Kognitos agent that reads inbound documents, performs the four-way match, attaches evidence in SAP, notifies stakeholders on Smartsheet, and escalates exceptions in plain English.
What is a 4-way match in SAP and why is it hard to automate with traditional RPA?
A 4-way match validates four documents against each other: the purchase order, the goods receipt, the supplier invoice, and a fourth supporting document (commonly a certificate of analysis for regulated goods, a bill of lading, or a quality test). Traditional RPA struggles because the fourth document is unstructured, the data lives in different systems and email, and the variability between suppliers breaks brittle rules. Kognitos handles the unstructured pieces and keeps the policy enforcement deterministic.
Who should attend the 4-way match in SAP webinar?
AP managers, procurement and supply-chain leaders, SAP centres of excellence, finance shared-services heads, and the automation / RPA team that supports them. It is especially relevant for organisations in CPG, manufacturing, pharma or regulated industries where a quality document is required as the fourth match.
How does the Kognitos 4-way match workflow integrate with SAP and other systems?
The agent reads invoices and supporting documents from email or a shared folder, queries SAP for PO and GR data, reconciles values and quantities, posts the matched invoice to SAP, attaches the supporting documents to the right SAP object, and updates an external tracking system such as Smartsheet so the broader team sees the status in real time. All steps are captured in an immutable plain-English audit trail.
How does Kognitos handle 4-way match exceptions and tolerance breaches?
When values fall outside tolerance, when a document is missing, or when the certificate of analysis fails a written policy threshold (for example 'moisture content must be ≤ 2%'), the agent stops processing that invoice and raises a plain-English exception to the right business user. The user resolves it once, the policy learns, and the next similar exception is handled without a developer round-trip.
How much manual work does automating the 4-way match save?
The session shares a representative example: roughly 20 minutes of manual effort per invoice to track down the bill of lading, open the email, review supporting docs and post in SAP. For organisations doing thousands of invoices a month that maps to multiple FTEs reclaimed plus elimination of late-shipment notifications and downstream rework. The customer-entered ROI assessment shown in the webinar is described as deliberately modest.
Will the audit team accept an AI-driven 4-way match in SAP?
Yes, if the platform produces deterministic, replayable evidence, which is the whole point of the Kognitos design. Every extraction, every match decision, every posted entry and every exception is logged in plain English with the policy that produced it. Audit and SOX teams get a complete trail per invoice, plus the ability to replay any decision against the version of policy that was live at the time.
Does Kognitos require my team to stop using their existing SAP tools or RPA?
No. Kognitos sits on top of and alongside SAP, RPA bots, OCR / IDP tools and your collaboration tools (Smartsheet, Slack, email). The platform orchestrates them where it makes sense and replaces them only where deterministic agents are clearly better. Most customers start with a single 4-way match flow and expand without ripping out their existing automation investment.
Can I try Kognitos for the 4-way match myself?
Yes. Kognitos now has a community edition open to everyone at kognitos.com/community with pre-built agents and the Auto-Write functionality that lets you describe a process in English and watch it build the workflow. You can sandbox the 4-way match pattern with your own sample documents before scoping a paid pilot.
What's the next step after watching the 4-way match in SAP webinar?
Bring your own 4-way match pain (PO data scattered across plants, a specific certificate of analysis variant, a stubborn exception queue) to a Kognitos demo. The team will scope a 2-4 week pilot against an anonymised sample of your real documents, baseline straight-through-processing and FTE-hour reclaim, and produce a TCO you can take to your steering committee.
