Your AI is still standing at the door
It can read invoices. Parse emails. Handle messy, real-world work that would break an old-school bot in seconds.
And yet, before it’s allowed to touch anything, most enterprises send it to the back of a very long line: workshops, interviews, event logs, spaghetti diagrams, and months of “is this really what we do?”
By the time the map is done, the business has moved on. And the AI? Still waiting.
Onboard AI like you onboard people
A great new hire doesn’t need a map of every edge case. They need three things:

The systems and data to do the work.
- 03Someone to ask
When they’re not sure, they stop and ask. They don’t make it up.
AI can work the same way. When it hits something it can’t justify, it pauses and asks a person. That answer becomes a rule, written in plain English with the reason attached, approved by a human before it ever runs on its own.
Nobody answers the same question twice.
A euro invoice walks into a dollar PO
No process map saw it coming. So the AI stops and asks the AP lead which exchange rate to use.
Her answer takes ten seconds: the treasury rate on the invoice date, because policy locks it at arrival. That becomes a rule. She approves it. The next euro invoice sails through, and the reasoning is on record for every auditor, every new teammate, and every future run.
Convert a foreign-currency invoice
- If the invoice currency is different from the PO currency, use the treasury rate on the invoice date.
- Why: policy locks the exchange rate when the invoice arrives.
- Approved by the AP lead before it runs on its own.
