3. Kognitos Account Settings and Login Introduction

Tutorial: managing your Kognitos organization, inviting users as Members or Admins, and the email magic-link login flow.

What you'll learn

A 3-minute introduction to Kognitos account settings, user management, and the login experience — useful for anyone setting up a new department or onboarding teammates.

The settings tour

  • Open settings: click the user icon in the top-right; this shows your organization and your user account.
  • Organizational settings: view the organization name, owner, creation date, and billing status. Billing fields are read-only and managed by Kognitos.
  • Invite a user: click Add User, enter an email, and pick a role.
  • Member vs Admin: an Admin has full rights across the organization; a Member is scoped to a specific department and can't create certain elements.

The first-time login flow

  • Sign-up: an invited user enters their first name, last name, email, company, and role to complete sign-up.
  • Magic-link email: on login, Kognitos emails a sign-in link. Clicking it opens a new tab, completes the sign-in, and drops the user back into their department.
  • Session length: the login persists for two weeks before another magic-link is required, so users don't have to log in daily.

What's the difference between an Admin and a Member in Kognitos?
An Admin has full rights across the organization. A Member is scoped to a specific department and cannot create certain organization-level elements.
How do I invite a new user to Kognitos?
Open the user icon in the top right, go to Organizational Settings, click Add User, enter the invitee's email, and pick Member or Admin before submitting.
How does the Kognitos login work?
Kognitos uses a magic-link flow: enter your email, click the sign-in link emailed to you, and a new tab completes the sign-in and lands you back in your department. The session persists for two weeks.
Can I change my organization's billing details from the settings UI?
No. Billing and ownership fields are read-only in the UI — they're handled by Kognitos. Reach out to your Kognitos contact to make changes.
